Copare is a co-parenting platform: verified messaging, a shared calendar, a care library, a secure file vault (LockBox), a journal, record exports, voice and video calls, and payments between co-parents. A companion portal lets legal and clinical professionals you choose to invite view the parts of your record you allow. This policy explains what we collect, why, who receives it, and the choices you have.
1. Information we collect
Information you give us
- Account details: name, email address, phone number, password (stored only as a salted hash), and your role (parent or professional).
- Family and co-parent details: your co-parent's name and email or match ID, and any information about your children that you choose to enter, such as names, schedules and notes.
- Content you create: messages and attachments, calendar events, care library cards, journal entries, files you store in LockBox, voicemails, and call recordings and their transcripts.
- Payment information: if you use Copare Pay or a paid plan, Stripe collects your card or bank details. We receive a Stripe customer ID, the last digits and type of the payment method, and payment status. We never see or store full card or bank account numbers.
- Messages to us: support requests and feedback.
Information created when you use Copare
- Usage and device data: log data such as IP address, browser type, pages requested, and timestamps, used for security and troubleshooting.
- Records we generate: audit entries (for example, that a record was exported or shared), notifications, and export authentication codes.
Information from others
- Your co-parent, or a professional you have invited, may add information that relates to you, such as messages, calendar events, or notes about a case.
2. How we use information
- Provide, secure and support the service you asked for.
- Verify your identity and prevent fraud and abuse, including sending sign-in codes by email or text message.
- Process subscription billing and payments between co-parents.
- Check messages for safety and tone before they are sent (see section 4).
- Transcribe call recordings you make.
- Produce exports and records you request.
- Send service messages: verification codes, password resets, invitations, notifications you enable, and receipts.
- Comply with law and enforce our Terms.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Who receives information
People you choose. Your co-parent sees the messages, calendar entries and shared items that the product is designed to share with them. A professional you invite sees only the modules you grant, and you can revoke access at any time in your Care Team settings. Anyone you share a LockBox item or export with can see it.
Service providers. We use the following companies to run Copare. Each receives only what it needs for its role.
| Provider | Purpose | Data involved |
|---|---|---|
| DigitalOcean | Hosting and storage (United States) | All service data, stored on our servers |
| Stripe | Payment processing, identity and bank verification for payments | Payment and identity details you give Stripe, payment records |
| Amazon Web Services (Amazon SES) | Sending email | Recipient email address and the email content |
| Twilio | Sending text messages | Phone number and message text |
| AssemblyAI | Transcribing call recordings | Call audio |
| OpenAI | Message safety and tone check | The text of a message you are about to send |
Voice and video calls use software we run ourselves, so call media passes through our servers and not a separate calling vendor.
Legal and safety. We may disclose information when we believe in good faith that the law requires it, for example a valid subpoena or court order, or to protect someone's safety. Where allowed, we will tell you first.
Business transfers. If Copare is involved in a merger, acquisition or sale of assets, your information may transfer as part of it. We will tell you and honor the commitments in this policy.
4. Message safety and tone checks
When you send a message, its text is sent to OpenAI's API (currently the model gpt-4o-mini) to check for threats, harassment, hostile tone and similar content, and to suggest gentler wording. The check happens before delivery and its result is shown to you. We use OpenAI's business API, which, under OpenAI's API terms at the time of writing, does not use API data to train its models.
5. Call recordings and transcripts
Calls can be recorded and transcribed. Recordings are stored encrypted and are available to the participants of that call. Recording and consent laws differ by state and country. You are responsible for following the recording laws that apply to you and the other participant.
6. Security
- Traffic between your device and Copare uses HTTPS.
- Files in LockBox, message attachments and call recordings are encrypted before they are stored.
- Access to our servers is limited to authorized staff, protected by key-based sign-in and a firewall, and logged.
- No system is perfectly secure. If a breach affects your information, we will notify you and regulators as the law requires.
7. Retention
- We keep your account information and content while your account is active.
- Records you export carry a retention period of five years, after which their verification links stop working.
- When you delete your account, your account locks immediately and your private data is erased after a 30-day waiting period (see section 8). Messages, calendar entries, calls, voicemails and payment records that you shared with your co-parent are part of their record and stay, with your name and details replaced by "Former user". Backups are overwritten on a rolling schedule of about 14 days.
- Payment records are kept as long as tax and financial rules require.
8. Your choices and rights
- Access, correct, download: most of your information can be viewed and edited in the app. Ask us at support@copare.net for a copy.
- Delete your account: go to Account Settings, Security, Delete account, and confirm with your password. Your account is locked at once, your subscription stops renewing, and we email you a link to change your mind. After 30 days we permanently delete what belongs only to you: journal entries, LockBox files, Care Library items, notifications and record exports, and your name, your child's details and your payment account links. A deletion cannot be completed while a Copare Pay payment is pending or your payout account still holds a balance. Professional accounts: email support@copare.net. You can also email support@copare.net from your account address to make a deletion request.
- Notifications: you can turn optional notifications off in your account settings.
- Sharing: you can revoke a professional's access, or a share link, at any time.
California residents (CCPA/CPRA). You have the right to know what we collect and how we use it, to request access, correction and deletion, and not to be discriminated against for exercising your rights. We do not "sell" or "share" personal information as those terms are defined in California law. We use sensitive personal information (for example, account log-in details, the contents of your messages, and payment account details processed by Stripe) only to provide the service you request. To make a request, email support@copare.net. We will verify your identity first. You may use an authorized agent.
9. Sign-in, cookies and local storage
We use your browser's local storage, not tracking cookies, to keep you signed in and remember display preferences. We do not use third-party advertising or analytics cookies.
10. Children
Copare is for adults. We do not knowingly collect information directly from anyone under 18. Parents may enter information about their own children as part of using the service, and remain responsible for that information. If you believe a child has created an account, contact support@copare.net and we will remove it.
11. Where your information is stored
Copare's servers are in the United States. If you use the service from another country, your information is transferred to and processed in the United States.
12. Changes to this policy
We will post updates here and change the effective date. For material changes we will notify you by email or in the app before they take effect.
